We are currently recruiting: Groups & Events Manager

Candidate Profile

Technical skills

  • Domain of the Portuguese language
  • Knowledge of the English language (spoken and written)
  • Knowledge of basic computer tools with intermediate experience in Microsoft programs, particularly MS Word, Excel, PowerPoint, email and internet
  • Demonstrated experience in event management
  • Compose and check reading materials

 Communication and Behavioral Skills

  • Ability to communicate and interact with many people from different cultures/origins and of different ages
  • Excellent ability to work in a team
  • Excellent written and oral communication skills

Key Responsibilities

  • Coordinate details of events such as conferences, weddings, birthdays, benefit events, parties, fairs, sales meetings, sport events, tournaments, business meetings and employee appreciation events
  • Calculate budgets and ensure they are met
  • Select musicians, bands and dj's
  • Select chefs or catering companies to prepare food for the event
  • Coordinate, support and perform the assemply and disassembly related to the set-up of events
  • Monitoring of the event to ensure that everything goes according to plan
  • Schedule lectures, suppliers and participants
  • Coordinate and monitor event schedules and ensure deadlines are met
  • Initiate, coordinate and/or participate in all efforts to publicize the events
  • Edit and design promotional materials
  • Prepare presentations
  • Develop and oversee fundraising events
  • Negotiate and secure space for events
  • Organize sponsorships
  • Work with the graphic design and develop invitations for events
  • Create guest list
  • Send invitations and organize list
  • Hire staff to manage the event, including security
  • Manage correspondence
  • Coordinate, support and execute all event logistics, including registration and monitoring of participants, presentation and support of materials
  • Prepare event reports (pre and post event)
